Terms and Conditions (Covid 19 - Year 2023)

Registration and Cancellation Policies during the Covid 19 pandemic (Year 2023).

The good news is that we can start to see the light at the end of the tunnel. As the general rule, we are following the rule and regulation of local governments. Safety and health will always come firm.

There is likely going to be a surge of travel as soon as the “world” officially opens. Airlines, hotels, transportation might be at an all time busy. IncredibleTravelPhotos tends to organize workshops in less known locations, so we are confident that when we are on the ground at the workshop location, we will maintain the unique experience and be welcomed by the locals.

The conundrum is how do you commit, without losing your deposit/payment and still be guaranteed a seat. More than ever, there is going to be limit on the number of participants. Travel insurances (listed in the workshop description) do cover all expenses in case of cancellation due to health issues or others (depending on the type of insurance you choose)

We accept Check, Money Order, and Credit Cards.

Cancellations, Delays & Refunds - No refunds will be given for delays or cancellations due to inclement weather, either before or during your workshop. We are not responsible for any additional costs you may incur due to any delays or cancellations.

If payments are made by check or money order, any appropriate refund will be made by check. If payments are made by credit card, any refund will be credited to the same credit card, minus the processing fee (3.7%).

1. Reservations
A full payment and completed Release and Waiver of Liability form will reserve a place for you on the IncredibleTravelPhotos workshops. Trip fees are quoted in US dollars and must be paid in US dollars.

2. Registration, Cancellation and Refund
A. To be guaranteed a seat in a workshop, you place the non-refundable deposit. If the workshop dates are postponed, you do have the option of getting a full refund (minus 3.7% processing fee, when paid by credit card).

B. The final payment dates are determined by the suppliers (crew on the ground, hotels, etc.). In case of postponement, we will make our best effort that payment can be transferred to the new date. As we are dealing with third party, we highly recommend purchasing a travel insurance to mitigate possible loss of payment.

C. If you paid the workshop in full, and you cancel your participation, IncredibleTravelPhotos will provide proof that your workshop participation is cancelled, so you can open your claim with your travel insurance.

D. For additional travel arrangement (airline, hotels pre/past workshop), we do recommend purchasing an insurance.

3. Insurance
All participants are strongly urged to purchase travel protection insurance. Examples of travel insurances are listed in the workshop description.

4. Responsibility
A Release of Waiver and Liability form must be signed by each participant prior to the commencement of the trip. Participation by any trip member will be declined in absence of the signed Release of Waiver and Liability form, with no trip fee refund. No modification to the terms of the Release and Assumption of Risk form will be accepted.

IncredibleTravelPhotos or its Agents can accept no responsibility for losses or additional expenses due to delay or changes in air or other services, weather, strike, war, quarantine or other causes. All such losses and expenses will have to be borne by the participant.

IncredibleTravelPhotos reserved the right to 1) substitute hotels of similar category 2) cancel workshop prior to departure, in which case full refund of the workshop fee will be given. IncredibleTravelphotos is not responsible for any trip cancellation expenses (therefore we encourage travel insurance) 3) substitute trip leader (s), in which case the substitution is not a basis for participant cancellation.

5. Communication
Upon signing up for a workshop, you’ll receive a confirmation email (to email address you used to sign up for the workshop) that your registration has been accepted. You’ll then receive an email that includes a coursebook (version 1), which details the logistics of the workshop (what to bring, recommended accommodation, typical daily schedule). When workshop dates are confirmed, you will receive an updated version of the coursebook. A final reminder email is sent one to two weeks before the workshop. It includes the final planning and location where to meet (if changed) .

6. Rules for attending IncredibleTravelPhotos workshops during the Covid 19 pandemic and Legal Disclaimer

As we live in a pandemic world, we want everybody to have a safe, productive and creative experience during the workshop. We are following the recommended guidelines set by the CDC and Santa Clara County Health Department. By signing this document, you understand and will adhere to the rules to protect yourself and others.

1. You need to vaccinated against Covid 19.
2. You need to bring your own mask. Bandannas are not a mask.
3. Wearing a mask is recommended upon arrival at the workshop. Mask will cover mouth and nose at all time.
4. You will sanitize your hands upon arrival. Hand sanitizer will be provided.
5. Not adhering to the above rules is a reason for immediate dismissal from the workshop. No refund will be provided.
6. We want everybody to feel comfortable. Thank you for the understanding!

I acknowledge the contagious nature of the Coronavirus/COVID-19 and that the CDC and many other public health authorities still recommend practicing social distancing.
I further acknowledge that IncredibleTravelPhotos has put in place preventative measures to reduce the spread of the Coronavirus/COVID-19.
I further acknowledge that IncredibleTravelPhotos can not guarantee that I will not become infected with the Coronavirus/Covid-19. I understand that the risk of becoming exposed to and/or infected by the Coronavirus/COVID-19 may result from the actions, omissions, or negligence of myself and others.
I attest that:
* I am not experiencing any symptom of illness such as cough, shortness of breath or difficulty breathing, fever, chills, repeated shaking with chills, muscle pain, headache, sore throat, or new loss of taste or smell.
* I do not believe I have been exposed to someone with a suspected and/or confirmed case of the Coronavirus/COVID-19.
* I have not been diagnosed with Coronavirus/Covid-19 and not yet cleared as non-contagious by state or local public health authorities.
* I am following all CDC recommended guidelines as much as possible and limiting my exposure to the Coronavirus/COVID-19.

I hereby release and agree to hold IncredibleTravelPhotos harmless from, and waive on behalf of myself, my heirs, and any personal representatives any and all causes of action, claims, demands, damages, costs, expenses and compensation for damage or loss to myself and/or property that may be caused by any act, or that may otherwise arise in any way in connection with any services received from IncredibleTravelPhotos.
I understand that this release discharges IncredibleTravelPhotos from any liability or claim that I, my heirs, or any personal representatives may have against IncredibleTravelPhotos with respect to any bodily injury, illness, death, medical treatment, or property damage that may arise from, or in connection to, any services received from IncredibleTravelPhotos.
